Setting up a class: public vs private

Every class you create in CertClass is either public, where anyone can find it and register, or private, where only people with the direct link can sign up. This guide walks through creating a class, choosing between the two, adding registration questions, and billing a company for a private group.

1. Create the class

Classes live under Classes in your dashboard. The form asks for the same things you would put on a flyer: what the class is, when and where it meets, how many people fit, and what it costs.

  1. Open Classes and click New Class.
  2. Enter the class title, an optional Subtitle (a short tagline shown under the title on your booking page), and a description. Pick a category if you use them (for example American Heart Association or American Red Cross) so students can filter your booking page by category.
  3. Choose the class type. A single-session class meets once on one date. Turn on Multi-Session for two-day certifications or longer programs, then add each session with its own date, time, and location. Each session can also carry a Location Type (Pool, Classroom, Beach, Facility, Outdoor, or Online), its own Max Capacity, a Required Session switch, and a short description. Attendance and pass/fail are tracked per session.
  4. Set Maximum Students (the enrollment cap) and the Price ($). When the class fills, new sign-ups join a waitlist instead of being turned away.
  5. Click Create Class. The class is live on your booking page right away unless you mark it unlisted (see below).

Class templates. If you teach the same course again and again, save it once under Templates. A template stores the title, description, price, capacity, deposit rule, certification details, and any documents. Choosing it from the Class Template menu at the top of the class form fills everything in, so a new class takes about a minute.

Recurring classes. To run the same class every week or every month, turn on Repeat This Class on the class form, choose how often it repeats and when the series ends, and CertClass creates one class per date. Each one can then be edited on its own.

2. Public classes: where students find them

A public class appears in three places automatically. Nothing else to set up.

  • Your hosted booking page. Every CertClass account gets a page at certclass.io/classes/your-business that lists upcoming classes with dates, prices, and a Register button. Share the link anywhere.
  • The embeddable widget. Paste the snippet from Widget into your own website and the same list shows up there, in your colors, with registration and payment in place.
  • The calendar view. Both the booking page and the widget offer a List / Calendar toggle, so students can browse by month.

3. Private (unlisted) classes: share a direct link

Some classes should not be advertised: a company training at their site, a class for one school, or a make-up session for a few students. Mark those as unlisted. An unlisted class is hidden from your booking page, the widget, and the calendar. The only way to reach it is the direct registration link.

  1. Create the class as usual, or open an existing class and click Edit Class.
  2. Turn on the Unlisted class switch near the bottom of the form and save.
  3. On the class page, click Copy Registration Link. The link goes to your clipboard and points straight at this class's registration form.
  4. Send the link to the people who should register. It works in an email, a text message, or a company intranet post. For an on-site class, paste the link into any QR code generator and put the printed code at the sign-in table so employees can register from their phones.

The class page shows an Unlisted badge so you can tell at a glance. You can flip the switch off later to make the class public, or on to hide a class that was public.

4. Registration questions

Each class can ask up to five yes/no questions during registration, for example “May we contact you afterward with a short survey?” or “Have you held a CPR certification in the last two years?” Students must answer every question before they can submit.

  1. On the class form, scroll to Registration Questions (Optional) and click Add question.
  2. Type the question as the student should read it. Repeat for up to five questions, then save.

Answers show up in three places:

  • The class roster (Manage Students), in an Answers column next to each student.
  • Each student's detail page.
  • The CertClass Export CSV from the Export Student List menu, with one column per question.

5. Billing an organization instead of each student

For corporate and group classes, one company usually pays for everyone. Set the class to bill an organization and students register without paying. You send the invoice yourself and record where it stands in CertClass.

  1. On the class form, find the Billing block and choose Bill an organization instead of Each student pays.
  2. Enter the organization name, the billing contact, and the billing contact's email (required).
  3. Usually you will also turn on Unlisted class so the class stays off your public page, then share the registration link with the company.

Students see Covered by your organization where the price would normally be, and they are never asked for a card. The class page adds an Organization Billing card with the contact details, an editable Invoice amount ($) that starts at the suggested amount (price times enrolled students), and Mark invoiced / Mark paid buttons. Reset to not invoiced takes the status back if you marked it by mistake.

Invoices are sent from your own tools

CertClass does not generate or email the invoice. Send it from your own Stripe dashboard, your accounting software, or however you invoice today, then click Mark invoiced and later Mark paid so your team can see the status.

Organization-billed registrations still count as registrations on your CertClass bill, but they never carry a per-payment fee because no payment goes through CertClass. See how you are billed.

6. Finding, cancelling, and deleting a class

The Classes page lists every class you have created. Search by title or instructor, filter by status, category, or instructor, and sort by date, title, price, number of students, or status. The Calendar toggle shows the same classes on a month grid.

Class status. Every class is Scheduled, In Progress, Completed, or Cancelled. Change it from the status menu next to the class title on the class page. Choosing Cancelled hides the class from your booking page and emails everyone enrolled that the class is cancelled. Refunds are separate: see refunds. Marking a class Completed is covered in completing the class.

Deleting a class. Delete Class at the bottom of the Quick Actions panel removes the class, its sessions, and every student enrolled in it after you confirm. It cannot be undone, so cancel a class instead when students have already registered.
