Templates, recurring classes, and documents

Most training businesses teach the same handful of courses over and over. This guide covers three tools that cut the setup work: templates that pre-fill the class form, recurring classes that create a whole series in one step, and documents such as waivers and study guides that students receive automatically.

1. Class templates

A template is a saved course description. Set it up once for each course you teach, and every new class starts from it instead of from a blank form. Templates live under Templates in your dashboard.

  1. Open Templates and click Create Template.
  2. Enter the Template Name (this becomes the class title), a description, and the category if you use them.
  3. Fill in Duration (Hours), Price ($), and Max Students.
  4. Add the Certification Type (Optional) (for example, AHA BLS Provider Course Completion Card) and Certification Validity (Months). Leave validity blank if the certification does not expire.
  5. Choose a Deposit setting: use your business default, or set a rule for this course. See deposits and paying up front.
  6. Optionally add a Default Location (Optional), the Additional Details (Optional) (prerequisites, what is included, certification details, cancellation policy), and any Participant Documents. Save the template.

To change a template later, click its card on the Templates page. Classes you already created keep their own copy of the details, so editing a template never changes an existing class. The one exception is the certification type used in emails, which is read from the template each time an email is sent. The edit form also has a Delete Template button, but CertClass will not delete a template while any class still uses it. The Duplicate button on a template card starts a new template prefilled with the same details, which is handy for offering the same course at a different price.

Open Classes, click New Class, and choose the course from the Class Template menu at the top of the form (the Use Template button on a template card takes you to the same form). The title, description, price, capacity, certification details, deposit rule, default location, additional details, and documents all fill in. You then add the date, time, and instructor and save.

Long courses become multi-session classes

When a template is longer than 8 hours, choosing it turns on Multi-Session and suggests one session per day in four-hour blocks. Adjust the session dates and times to match your actual schedule before saving.

2. Recurring classes

If you run the same class every Tuesday evening or the second Saturday of each month, you do not have to create each date by hand. Turn on Repeat This Class on the class form and CertClass creates one class per date.

  1. Start a new class as usual (pick a template if you have one) and set the class date and times. The repeat options need the first date before they can show the series.
  2. Turn on the Repeat This Class switch.
  3. Under Repeats, choose Weekly, every 2, 3, or 4 weeks, or the monthly option. Monthly repeats on the same weekday of the month as your first date, for example “Monthly on the second Saturday.”
  4. Under Ends, choose After and a number of classes, or On date and a last date. A series can hold up to 26 classes.
  5. Check the list of dates shown below the options, then click Create 6 Classes (the button shows the number of classes it will create).

What you get:

  • One class for each date, each with the same title, description, price, capacity, deposit rule, instructors, and documents. Multi-session classes repeat too: every session shifts by the same number of days.
  • Every class in the series is independent. Open any one of them and edit the price, move the time, swap the instructor, or cancel it, and the other dates stay as they were.
  • Each class has its own roster and its own registration link, and students see each date as a separate class on your booking page and widget.

The Calendar toggle on the Classes page is the easiest way to see a series at a glance. Click any date to open that class.

Repeat is for new classes only

The Repeat This Class block appears only when you create a class. To add more dates to an existing course, create a new class from the same template and turn on Repeat there.

3. Class documents

Waivers, pre-course study guides, parking instructions, and anything else students should read before class can be attached as documents. Students get them by email, so nobody has to remember to send the PDF.

  1. On the class form (or the template form), scroll to Participant Documents near the bottom.
  2. Drop a file on the upload area or click it to browse. PDF, Word documents, and images up to 10 MB are accepted, up to five documents per class.
  3. Click the pencil next to a document to give it a friendlier name (for example, “Liability Waiver” instead of the file name). Use the X to remove one.
  4. Save the class. Documents are stored with it.

Where students see them. Each document has a mail icon. When it is on (the default), the registration confirmation email lists the document as a link. Turn it off for files you would rather send later, such as a post-class survey. Emails you write to a roster from the class page can include the same document links. Documents are not shown on the public booking page.

Links stay private. Every document link points to CertClass, and each click hands the student a fresh download link that expires within minutes. Your uploads are never reachable at a public web address, and if you remove a document from the class, its link stops working.

Templates carry documents too. Attach the waiver and study guide to the template once. Every class created from that template starts with copies of those documents, and you can add or remove documents on the class without touching the template. Recurring classes get the documents on every date in the series.
